Flow Metrics Workshop

Optimise your workflow with concrete data.

Duration · 120 min
Participants · 3–10
Level · Intermediate

The Flow Metrics Workshop enables teams to analyse key metrics such as Cycle Time, Throughput, WIP, and Flow Efficiency. Based on real data, participants identify bottlenecks and improve their delivery processes.

Walkthrough

  1. 1

    Introduction to Flow Metrics

    15 min

The facilitator presents the key concepts: Cycle Time, Throughput, WIP, and Flow Efficiency. They explain how these metrics are used to analyse and improve workflow. Participants are encouraged to ask questions to clarify their understanding. This step lays the theoretical foundations necessary for the rest of the workshop.

TipUse concrete examples from your company to illustrate each metric, making the theory more tangible.

  2. 2

    Data Collection

    20 min

Participants are divided into small groups and receive real or simulated data about their workflow. Each group must examine the data and calculate the flow metrics. The facilitator circulates among the groups to answer questions and ensure everyone understands the calculations.

TipPrepare varied datasets so that each group has a slightly different case to study.

  3. 3

    Results Analysis

    30 min

Each group presents its results and shares observations on the identified bottlenecks. The facilitator guides the discussion to help participants understand how the metrics interact and influence the overall workflow.

TipEncourage participants to ask questions of other groups to enrich the discussion and broaden perspectives.

  4. 4

    Identifying Improvements

    25 min

Groups reflect on concrete actions to improve workflow based on their analyses. The facilitator encourages creativity and collaboration to find innovative solutions. Each group prepares a list of actions to implement.

TipProvide an impact/effort matrix to help groups prioritise their actions.

  5. 5

    Collective Action Plan

    20 min

Groups share their action plans with all participants. The facilitator facilitates a discussion to consolidate ideas and create a collective action plan. Participants commit to the next steps to integrate the identified improvements.

TipUse a whiteboard to visualise the collective action plan and facilitate everyone's engagement.

Variants

  • Use software tools to visualise data in real-time and facilitate analysis.
  • Adapt the workshop to focus on one metric at a time for a more in-depth analysis.
  • Add a simulation exercise to test the impact of proposed changes before implementing them.

Debrief guide

  • What have you learned about your workflow through these metrics?
  • What bottlenecks have you identified and how do you plan to resolve them?
  • How do these metrics influence your daily decisions?
  • What actions will you implement immediately?
  • How will you track the impact of the changes made?
  • What difficulties did you encounter while analysing the data?
  • How could you integrate these practices into your work routine?
