By analysing each step of a workflow, participants calculate the ratio between added value and total time, which helps them prioritise improvements that have the greatest impact on overall Lead Time. This workshop fosters a culture of continuous improvement by engaging teams in collective reflection on process optimisation.

    Introduction and Objectives

    The facilitator begins by explaining the objectives of the workshop: to identify waste in the workflow and improve overall efficiency. They specify that each participant will play an active role in the flow analysis. 'We will explore how we work today and how we could improve our process to deliver more value.'

    Value Stream Mapping

    30 min

    Participants work in groups to map the current value stream on a whiteboard or large paper. Each step of the process is identified and placed in chronological order. 'Identify each step of your process, from start to finish, and note them on the board.'

    TipEncourage participants to be precise and to include all steps, even those that seem insignificant.

    Identifying Waste

    20 min

    The facilitator guides the group to examine each step of the flow and identify potential waste (waiting times, unnecessary tasks, etc.). 'For each step, ask yourself: does this add value for the customer?' Note the identified waste next to each step.

    TipUse different coloured sticky notes for waste to make them visually distinct.

    Calculating the Added Value/Total Time Ratio

    Participants calculate the total time of the process and the time spent on value-added activities. 'Calculate how much time is spent on activities that actually create value for the customer and compare it to the total time.'

    TipPrepare a spreadsheet or template to facilitate calculations.

    Discussion on Improvements

    25 min

    In groups, participants discuss possible improvements to reduce or eliminate the identified waste. 'What actions can we take to reduce waste and increase added value?' Prioritise actions based on their potential impact.

    TipEncourage creative ideas and ensure that each participant has the opportunity to express themselves.

    Action Plan

    20 min

    Participants create a concrete action plan to implement the identified improvements. 'Let's choose two or three priority actions and define who will be responsible for implementing them, along with the associated deadlines.'

    TipUse a Kanban board to track the actions to be implemented and their progress.
